Instructions

This page will help track the workflow of the Sales Engineering team or individual through opportunities at any stage. It’s main objective is to help track and hand over technical work, and keeping a log based record of actions.

Usage

Home tasks: Add the tasks sheet to your home in Notion so you can see which tasks are due when you start your day.

Log based record: Add notes when they happen to make opps traceable. Use the comments section to add annotations on the opp, and page contents to add extended notes (like call notes or drafting an email). This helps keep track of the last action or when things occurred.

Prefix tasks: As your database grows, you will want to search through tasks and notes done in the past. Prefixing tasks with the name of the opp will improve searchability.

Navigation: Use the account relation property to navigate back and forth between accounts and their tasks.

Attributes:

  1. Attributes are sorted by priority in terms of value, and only those that are most important are shown by default. Most have a description for the field or for each of their values (selects and multi-selects)
  2. Prefer adding links and other information in the task content (follow ups, references, external links) over adding new fields. Example, if some opps have a relationship with a partner in a different tool which you some times want a link for, add it to the context instead of adding it as a property. Properties should be for those fields where +80% of opps will have or need a value for. Example 2: if there is a relevant conversation in slack: add it to the context (comments or page content)

Recommendations

Logos & icons: Using just the right amount of colors and icons helps moving fast and getting context quickly when skimming through your opps.

  1. Add logos of your accounts to the account icon for a better experience

Search for the logo of your company, and copy the Image address

Then add as a custom icon to at the Account level.

  2. Only use Notion provided icons in the rest of the sheet. Example: Each task has a default logo that helps identifying the kind of task it is everywhere it is mentioned,

Modify as needed

You should start using this template as a starting point, however every job and company have it’s own needs. Adjust your tables, and summaries as needed so you can make the most out of the sheet

FAQ

Why should I use notion to track opportunities?

As someone once said, “SEs are the navy seals of <your company here>”. The SE team is usually a wolf pack that works beside very different teams. Usually they use and have access to most tools in the company but there is not one that is designed for them.

This notion database will enable you and your team to properly track each and every deal, and adjust it to your company needs as you grow.

Why not use Salesforce?

Salesforce is great, but it’s an overkill. It takes ages to load, and as you scale you need a SF admin to code in for you automations and other different stuff.
